Application for the issue of Certificates/Diplomas

The Western Cape Education Department: Examinations handles the issue of certificates/diplomas to clients residing in the Western Cape Province, regardless of the Education Department where you obtained your qualification.

Affidavit
All applications for duplicate certificates should be accompanied by a signed affidavit from the police station stating the whereabouts of the original certificate e.g. stolen.
Identity document
You will need to furnish a certified copy of your identity document. (This must be done by a commissioner of oaths) You can make a copy and have it certified either at a police station or at an attorney’s office where they should do it for free. Please remember to take the original along with you so that the commissioner of oaths can verify the copy.
School/College Name and Year of qualification
You will also need to include the name of the school/college and province in which you obtained your qualification and the year.
Your Surname
You will have to indicate your surname as at the time you wrote the examinations, especially if you are a woman and have married in the interim and changed your surname.
Administration fees payable
R 23 for confirmation of results
R 63 for the replacement of a Junior Certificates / Senior Certificates / National Senior Certificates / ABET level 4 Certificates / Technical certificate and Teachers Diplomas
You can either pay in cash – if you visit in person – or enclose a postal order to that amount (which you can get at the post office), a cheque for that amount or by means of electronic transfer.

PS: All payments should be made out to The Provincial Government of the Western Cape: Department of Education.
Cheques, postal orders or copies of the deposit slips must accompany the application before any certificate will be issued.
What to expect
When
If you obtained your qualification before January 1992, the copy should be ready in 4-6 weeks.
If you matriculated after and including 1992, there is a longer waiting period as the certificate has to be requested from Pretoria – about 8 weeks or more.
How
The Department will send the document to you by registered post or you can arrange to collect it yourself.
PS: If you reside overseas it would be more practical to arrange with a relative or a friend living in South Africa to apply on your behalf. (If this cannot be arranged, you will be liable for the overseas shipping costs)
